Two factor authentication

What is two factor authentication?

Two Factor Authentication (2FA) is a security process that requires two distinct forms of identification – your usual password plus a numeric code (passcode). This additional security process helps make sure that you, and only you, can access your account. This helps safeguard your data and the integrity of our systems.

You use your personal mobile device to enter this passcode. You can generate passcodes yourself using an authenticator app installed on your mobile device, or choose to receive passcodes from us via text message.

As the passcode is either generated on, or sent to your personal device, it’s not possible for another person to log into your e-Fleet account even if they have your password.

2FA is used by many online services and you may already use it for your online banking. If you have already used 2FA, this process will be very familiar to you

Key points

  • You do not need a passcode to access your Driver Support Numbers. You can continue to use your registration number as usual.
  • If you are an e-Fleet user with elevated permissions such as a fleet manager, 2FA replaces the previous Secondary Password process.
  • When logging into e-Fleet, 2FA is used in addition to your existing password for extra security.
  • You must use your personal mobile device to manage 2FA. You must not register a shared device for use with 2FA.
  • If you have already used 2FA, you will already be familiar with this process, and how to get started.

The set up process

Log into e-Fleet with your usual username and password. After entering the correct password you will be asked to choose an authentication method. This is the method by which you’ll obtain your passcode.

You will be presented with two options:

  • Authenticator App
  • Text Message (SMS)

Note: if your e-Fleet permissions have changed since you last logged in, we’ll need to authorise your account first. We’ll email you once this process is complete and you can  continue to set up 2FA.

Authenticator App option

Using an authenticator app allows you to quickly generate passcodes on your mobile device so you don’t have to wait to receive a text message. We recommend the free ‘Google

Authenticator’ app, though any authenticator app will work.

If ‘Authenticator App’ is your preferred method, skip to ‘Setting up with authenticator app’.

Text Message (SMS) option

If you can’t install an authenticator app, or prefer to receive passcodes via text message, your current mobile number must be registered on your e-Fleet account.

When you select the ‘Text Message (SMS)’ option we’ll first check if your current mobile number is registered. If it’s different, or we don’t have a number for you, you’ll need to call us.

If ‘Text Message (SMS)’ is your preferred method, skip to ‘Setting up with text message’

Setting up with authenticator app

Download the Google Authenticator App

The Google Authenticator app is available on both the iOS App Store as well as the Google Play store. It’s free to download and use, so there’s no need to pay any subscription fee. We recommend that you download the app on your smart phone instead of a tablet, since you’ll need to have the device always with you when a code is required.

After downloading your Authenticator app, on the Harmoto registration steps click the I’ve installed an Authenticator App button to proceed.

Launch your authenticator app and add a new account using the ‘Add’ or ‘+’ icon. Then select the option to Scan QR code and scan the code presented on screen.

Note: If you experience problems scanning the QR code, or you are not able to use or install an authenticator app, you should utlise the Text Message (SMS) option.

Follow any on-screen instructions to complete set up, then return here and click ‘Continue’. An account called ‘e-Fleet (your username)’ will be added to the app and a dynamic

passcode code will be displayed. The passcode refreshes every 30 seconds. Once you’ve successfully added the e-Fleet account to your authenticator app, enter the displayed code into the 6-digit code field under Step 2 and select Submit passcode.

After a few moments you’ll be logged into e-Fleet and you can proceed as normal. Skip to ‘Entering passcodes’.

Setting up with text message

After clicking ‘Text Message (SMS)’ the system will perform a check to determine if you have a mobile number registered on your account.

If a number is registered on your account

The last four digits of the registered number will be displayed. If the number is correct, select Text Me My Code. Your 2FA passcode will be sent to your mobile device and page will update and ask you to enter the code.

If no mobile number registered on your account, or the number is wrong If you don’t have a number registered against your account or the number is wrong, you’ll need to call us.

The process will only take a few minutes during which time we’ll ask you a few security question to verify your identity.

Once your mobile number is registered you can restart the set up process. Return to ‘If a number is registered on your account’ above.

Entering passcodes

Passcodes are valid for five minutes. If the correct passcode is entered within the appropriate timeframe you will be taken directly into e-Fleet. If you don’t enter the passcode within the allotted timeframe you can request a passcode to be resent.

You have five attempts to enter a correct passcode at which point your account will be temporarily suspended for 30 minutes and countdown will be displayed. After 30 minutes you will be able to enter a new passcode.
